Salary Band : 3-3.5 LPA commensurate with qualifications and experience. Role Overview: We are seeking a highly professional and efficient Front Office Executive to serve as the first point of contact for clients and visitors at Seven Oaks Pet Hospital. The Front Office Executive will play a crucial role in providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of the hospital's front desk operations. The ideal candidate will possess strong communication skills, a positive attitude, and a commitment to delivering excellence in client care. Key Responsibilities: 1.  Customer Service: - Greet clients and visitors in a warm and friendly manner, providing a positive first impression of the hospital. - Answer phone calls and respond to inquiries from clients, providing information about services, appointment scheduling, and pricing. - Assist clients with check-in and check-out procedures, collecting payments, and processing invoices with accuracy and professionalism. 2.  Appointment Scheduling: - Manage the appointment calendar for veterinary consultations, surgeries, and other services, ensuring optimal scheduling and efficient use of resources. - Coordinate with veterinary staff to accommodate urgent cases and schedule follow-up appointments as needed. - Confirm appointments with clients via phone calls, emails, or text messages, and reschedule appointments when necessary. 3.  Client Relations: - Build and maintain strong relationships with clients, addressing their needs and concerns with empathy and professionalism. - Handle client inquiries and complaints in a timely and courteous manner, escalating issues to the appropriate staff members when necessary. - Assist clients with completing forms and paperwork, ensuring accuracy and completeness of information. 4 . Administrative Support: - Perform general clerical duties, including photocopying, faxing, filing, and scanning documents. - Maintain electronic and paper records of client information, medical histories, and appointment schedules in accordance with confidentiality guidelines. - Assist veterinary staff with administrative tasks, such as preparing patient files, updating treatment plans, and recording patient outcomes. 5.  Facility Management: - Monitor the reception area and ensure it is clean, organized, and presentable at all times. - Order office supplies and maintain inventory levels to support daily operations. - Liaise with maintenance staff and external vendors to address facility-related issues and ensure timely resolution of maintenance requests. Qualifications and Experience: - Bachelor's degree in Business Administration, Hospitality Management, or related field preferred. - Minimum of 2 years of experience in a customer service or administrative role, preferably in a healthcare or veterinary setting. - Excellent communication skills, both verbal and written, with a professional and courteous demeanor. - Strong organizational skills with the ability to prioritize tasks and manage time effectively. - Proficiency in computer applications, including MS Office suite and electronic medical record systems. - Female candidates with a passion for animals and a commitment to delivering exceptional client care are preferred.
