Job Responsibility:

  • Oversee the daily operations of the administrative department, including facilities management, office supplies procurement, and vendor management.
  • Develop and implement administrative policies, procedures, and systems to streamline processes and enhance operational efficiency.
  • Manage office budgets, expenses, and financial transactions. Monitor expenditures and identify cost-saving opportunities.
  • Supervise administrative staff, including administrative assistants, receptionists, and office support personnel. Provide leadership, guidance, and performance feedback to ensure high performance and productivity.
  • Coordinate office logistics for meetings, conferences, and events. Arrange catering, audiovisual equipment, and other resources as needed.
  • Ensure compliance with health and safety regulations, building codes, and workplace standards. Implement measures to maintain a safe and healthy work environment for employees.
  • Oversee facilities maintenance and repairs, including office equipment, furniture, and infrastructure. Liaise with external vendors and service providers to address maintenance issues promptly.
  • Manage office space planning and utilization. Coordinate office moves, renovations, and expansions as necessary.
  • Serve as the primary point of contact for administrative inquiries and requests from employees, management, and external stakeholders.
  • Develop and maintain effective communication channels within the organization. Facilitate interdepartmental collaboration and information sharing.
  • Handle sensitive and confidential information with discretion and confidentiality. Ensure compliance with data protection and privacy regulations.
  • Stay updated on industry trends, best practices, and regulatory changes related to administrative management. Recommend and implement improvements to enhance organizational effectiveness.

Qualifications

  • Bachelor's degree in business administration, management, or a related field.
  • Minimum of 15 + years of experience in administrative management or related roles, with demonstrated leadership and supervisory experience.
  • Strong organizational skills and attention to detail. Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Excellent communication and interpersonal skills. Ability to interact effectively with employees at all levels of the organization.
  • Proven problem-solving abilities and a proactive approach to addressing challenges. Ability to make sound decisions under pressure.
  • Knowledge of office management software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and facility management systems.
  • Experience with budget management, financial analysis, and reporting.
  • Familiarity with health and safety regulations, compliance standards, and best practices in workplace administration.
  • Ability to lead and motivate a diverse team of administrative professionals. Strong coaching and mentoring abilities.
  • Professionalism, integrity, and discretion in handling confidential information and sensitive situations.
  • Flexibility to adapt to changing priorities and work schedules. Willingness to work occasional evenings or weekends as needed.
