Executive Assistant to MD for SAAN Location: Noida, Delhi & Greater Noida Role Synopsis SAAN is a specialty chemical trading organisation located in the Delhi NCR (India) region having pan India presence. We have an immediate requirement for Executive Assistant to MD based Delhi, Noida & Greater Noida. The detailed Job Description is given below. It is to be noted that, your reporting will be to the MD. Responsibilities: Calendar Management: Schedule meetings, appointments, and events for the MD, ensuring efficient use of their time and prioritising important tasks. Email Management: Handle and respond to emails on behalf of the MD, sorting through correspondence and flagging urgent messages. Travel Coordination: Arrange travel itineraries, accommodations, and transportation for the MD, both domestically and internationally. Meeting Support: Prepare meeting agendas, take minutes, and distribute materials in advance. Follow up on action items and ensure timely completion. Communication Liaison: Serve as a primary point of contact between the MD and internal/external stakeholders, screening calls and visitors. Document and Preparing Offers: Prepare, draft, edit, and format documents, offers, presentations, and reports as needed by the MD. Project Coordination: Assist with special projects, research initiatives, and other tasks as assigned by the MD, coordinating efforts across teams when necessary. Expense Management: Track expenses, reconcile receipts, and prepare expense reports for the MD's approval. Confidentiality: Handle sensitive information with discretion and maintain strict confidentiality at all times. Office Management: Oversee office supplies, equipment, and facilities, ensuring a well-functioning and organised workspace. Qualifications: Experience: Previous experience as an executive assistant or in a similar administrative role, preferably supporting C-level executives or senior management. Organisational Skills: Strong organisational and multitasking abilities, with the capacity to prioritize tasks and manage time effectively. Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels of the organisation. Attention to Detail: Meticulous attention to detail, accuracy, and proofreading skills, ensuring high-quality work output. Tech Savvy: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools. Experience with calendar and email management systems is a plus. Discretion: High level of discretion and integrity when handling confidential information and sensitive matters. Adaptability: Ability to adapt to changing priorities and work effectively in a fast-paced environment. Initiative: Proactive mindset with the ability to anticipate needs, take initiative, and solve problems independently. Professionalism: Professional demeanour and appearance, representing the MD and the organisation in a positive and professional manner. Management's Degree: A management degree in business administration, communications, or a related field is preferred but not always required, depending on the level of experience.
